Terms of Service

These Terms of Service (“Terms”) apply to your use of thelatexlab.com, our free online tools, and any service provided by TheLaTeXLab (“we”, “our”, “us”). By placing an order or using the website, you agree to these Terms. If you do not agree, please do not use our services.

1. Our services

TheLaTeXLab provides document conversion and formatting services for academic and research work, including:

  • Word to LaTeX and PDF to LaTeX conversion
  • Journal and conference formatting in LaTeX, and journal formatting in Word
  • Thesis and dissertation formatting to university templates
  • LaTeX typesetting for books and long documents
  • Custom LaTeX templates, class files, and accessibility work for universities, publishers, labs, and companies

Every document is converted or formatted by hand by a LaTeX specialist. We work on formatting only: we do not edit the language, change the wording, data, or results, or review the research itself.

2. Quotes and orders

To start, send us your document, the target journal, conference, or university, and your deadline through our quote form, by email, or on a call. We reply with a flat-fee quote and a delivery date. The order begins when you accept the quote.

We may decline a project that falls outside our expertise or cannot be finished by the date you need.

3. Pricing and payment

  • Flat fee. Every price is fixed in the quote before work starts, based on the service and the page count. We do not charge by the hour, and the price does not change unless you change the scope.
  • Currency. Prices are in US dollars, except dissertations for German universities, which are priced in euros. Current prices are on our Pricing page.
  • No upfront payment. You review the first draft before you pay. Once you are satisfied, you pay and we send the final files.
  • How to pay. By bank transfer (we hold accounts in USD, EUR, AUD, CAD, and other major currencies) or by credit or debit card through Stripe. We never see or store your card details.
  • Institutions. Projects for universities, publishers, labs, and companies follow the payment terms in the written proposal.

4. Delivery

We deliver by email: the full LaTeX source (.tex files, bibliography, and figures) and a compiled PDF. Usual turnaround times are:

  • Research papers: within 72 hours
  • Theses and dissertations: within 7 days up to 80 pages, and within 14 days up to 350 pages
  • Larger projects: the date given in your quote

Turnaround starts once we have all the files and instructions we need. If we expect a delay, we will tell you straight away and give you a new date.

5. Revisions

We revise the work until you are satisfied that it matches what was agreed: the correct template, correct formatting, and a clean compile. Revisions cover the agreed scope. They do not cover new content, changes to your source document after we start, or switching to a different journal or template; we will quote for those separately.

Please send revision requests within 30 days of delivery. After that we delete your files, as described in our Privacy Policy, and you may need to send them again.

6. Compilation and quality guarantee

Every file is tested for compilation before delivery. Your files will compile in Overleaf or a standard TeX Live installation. If they do not because of a mistake on our side, we fix it free.

If a journal or university rejects your manuscript because of a LaTeX formatting issue in our work, we fix it free or refund the fee in full.

The guarantee does not cover problems caused by changes you make to the delivered files, missing or outdated local packages, non-standard compiler setups, or requirements we were not told about.

7. Cancellation and refunds

  • Before you pay: you can cancel at any time and you owe nothing. We keep no rights over your document.
  • After you pay: the quality guarantee in section 6 applies. If we cannot fix a problem that is our fault, we refund you.

We do not refund completed orders that match the agreed scope, compile correctly, and follow the requested template.

8. Your responsibilities

  • Send complete source files and clear instructions, including the correct journal, conference, or university template.
  • Tell us your deadline before work begins.
  • Only send documents you have the right to share with us.

Delays caused by missing files, unclear instructions, or late replies can move the delivery date.

9. Intellectual property

Your documents and research are your intellectual property. We make no claim over anything you send us. Once the order is paid, the files we deliver are yours to use, change, and submit without restriction.

10. Confidentiality

We keep your documents and project details confidential. We use them only to complete your order and never publish or share them, except where the law requires it. How we handle your data is described in our Privacy Policy.

Please remove classified or export-controlled material before sending a document.

11. Free online tools

Our free tools, including the accessibility checkers, LaTeXdiff Online, and the citation and BibTeX generators, are provided as they are, without charge and without any guarantee. The accessibility checkers report readiness, not compliance, and do not replace a human review. Please do not overload the tools, send automated requests, or try to get around their limits or security checks.

12. Limitation of liability

We provide formatting and conversion only. We are not responsible for:

  • The content, accuracy, or originality of your documents
  • Decisions by journals, conferences, or universities, including acceptance or rejection, beyond the guarantee in section 6
  • Problems caused by changes made to the files after delivery
  • Loss or delay caused by events outside our control

Our total liability for any claim is limited to the amount you paid for the order concerned.

13. Acceptable use

Do not use our services or tools for anything unlawful, or send documents that contain illegal content or infringe someone else’s rights. We may refuse or stop any order that does.

14. Changes to these Terms

We may update these Terms. When we do, we will change the date at the top of this page. The Terms that applied when you accepted your quote apply to that order.

15. Governing law

These Terms are governed by the laws of India. Any dispute is subject to the exclusive jurisdiction of the courts in Gurugram, Haryana, India.
